Soft and pre-legal debt collection

Amicable debt collection in your company's name, without commission

Sunbay is an accounts receivable platform that runs soft collections in your company's name. It reminds customers about invoices before and after the due date, issues interest notes and payment demands, and when a conversation is needed, it creates a task for your team. You pay a monthly subscription, not a commission on what you recover.

The stages of amicable debt collection and what Sunbay does in each

Customer relationships

Amicable, without straining the relationship

A customer who pays late is often still a good customer. That is why you tailor every step to them.

1

A tone for each customer group

A loyal customer gets a polite reminder before the due date, while a new one also gets a text message and an interest note. You set the order and the channels.

2

Messages from someone the customer knows

Reminders can go out from the account manager's mailbox, in the customer's language and in your company's name.

3

You decide on escalation

Sunbay does not pass a case on without your decision. For every customer you can see what stage the case is at.

4

No reminders after payment

When the payment shows up in your ERP, Sunbay closes the case and sends no further messages.

Who it is for

When amicable collection is enough and when you need a law firm

Amicable collection with Sunbay is enough when

  • You issue hundreds of invoices to many customers every month.
  • Most overdue invoices are ones customers forgot about or keep putting off.
  • You want to keep working with customers who pay late.
  • You want to know where every case stands.

A law firm or an agency makes sense when

  • The debtor has not responded for months and you do not plan to keep working with them.
  • The case needs a lawsuit or enforcement by a bailiff.
  • You have one large, old debt rather than many current invoices.

Would you rather hand collections to a team?

We are preparing a full collections service that the Sunbay team will run for you, for a fixed fee and with no commission.

FAQ

Questions about amicable debt collection

What to know before you start recovering receivables amicably.

Talk to our team

What is amicable debt collection?

It means recovering receivables without going to court. You remind the customer about the invoice, charge interest, send a payment demand and try to agree on a payment date. In Sunbay these steps follow the path set for each customer group, and messages go out in your company's name.

How is amicable collection different from pre-legal and soft collection?

These names usually describe the same stage, everything that happens before a lawsuit. Pre-legal collection often refers to its final part, with a final demand for payment. Sunbay runs the whole stage, from the first reminder to the demand.

Is Sunbay a debt collection agency?

No. Sunbay is an accounts receivable platform. Reminders, interest notes and demand letters go out on behalf of your company, and you decide on every escalation. When a case needs formal collection, you pass it with its full history to the KRD debtor register, a law firm or your in-house legal team.

How much does amicable collection with Sunbay cost?

You pay a monthly subscription based on the number of invoices, with no commission on recovered amounts. At 250 invoices a month, plans cost from 290 to 690 euro, and onboarding is a one-off fee of 1,000 euro. Interest notes and payment demands are included in the Standard and Pro plans.

Will reminders put my customers off?

Not if the tone and order of steps fit the customer. You set a separate path for each customer group, and messages can go out from the mailbox of the account manager the customer knows. A promise to pay pauses reminders until the agreed date.

What happens if amicable collection does not work?

When a payment demand does not help, Sunbay creates a task for the person who decides on escalation. If the case should go further, you pass a package with the invoice, demand letters and contact history to a law firm or the KRD debtor register. The handover package is part of the Pro plan.
